JOB DESCRIPTION

Synonymous Sport Background:

Synonymous Sport was founded in early 2022, based on the core principle to elevate brands through sports sponsorships. Our secondary mission is to host top-quality sporting events predominantly in Essex, while raising funds for exceptional local causes in our community.

We are building a team of highly motivated sports marketing experts, whilst creating a strong culture across the business where success is rewarded.

Our team is working with a wide variety of international brands to help them identify and then manage their sports partnership campaigns, with a 100% retention rate of client retainers.

Role background:

Synonymous Sport is looking for a passionate Personal Assistant who is eager to be part of this exciting journey, helping to drive our success while growing with the business.

Synonymous Sport is 3 years old with big aspirations, aiming to double in size year on year for the next five years.

As a key member of our team, you'll be hands-on, supporting the Founder in the day-to-day operations, office management, and helping to shape the future of the agency. You'll be rewarded for your contributions and dedication, with plenty of opportunities for career progression as part of the Senior Leadership Team.  

This individual will possess strong relationship management skills, exhibit exceptional organisational abilities, and have the drive to help grow a business.

However, no week is the same, as there are various off-site meetings and events. It's common to have a minimum of two days a week working from home, while still being actively involved in the company's dynamic operations.

Headline responsibilities:

-          Support the Founder with all elements of managing and growing the business

-          Management of the Founder’s diary by scheduling meetings and travel arrangements

-          Maintaining the key business to do lists for the Founder and prioritising tasks

-          Supporting the Founder with inbox management

-          Improving and building out of all processes across the business, documenting and communicating to the team

-          Problem-solving for team Synonymous sport

-          Client event management such as private dinners and clients sport activation

-          Managing all administrative tasks across all areas of Synonymous Sport

-          Ownership of all Synonymous Sport event management including planning, administration and budgeting

-          Support with event ideas, creation and management of P&L up to sale delivery

-          Bi-Weekly reporting on key business objectives

-          Day-to-day management of invoicing, bookkeeping and supporting the Founder on budgeting

-          Office management duties to ensure HR, Insurance and day-to-day operations run smoothly

-          Manage all office contracts including, mobile phones, landlines, software etc

-          Organisation of quarterly team events

-          Attending & minuting key meetings with Founder assigning key actions within the business

-          Supporting the Founder with personal tasks, travel arrangement, external business interests 

-          Ad hoc administrative tasks

Personal specification – essential:

-          Highly organised with exceptional attention to detail

-          You would have worked as a personal assistant for a minimum of 5 years

-          Excellent relationship builder

-          Exceptional people management skills

-          Bring positivity and energy to the workplace

-          Strong communication skills with internal and external stakeholders

-          A problem solver being the one to make it happen

-          Ability to work from central Essex office 3-4 days per week

-          Driving licence with full access to own vehicle

-          A genuine ability to multi-task and self-prioritise tasks

-          Unrivalled time management and ability to forward-plan whilst being able to adapt to any ad-hoc requirements of the Founder

-          Astute in use of Microsoft programmes including Teams
